If someone does not already appear under Active Org Members or Available Contacts, you can use the Organizational Membership Roster to add or invite them.
Add a new contact
- Open your Organizational Membership Roster.
- Select + Add Contact.
- Enter the individual’s email address.
- Choose whether you want to add the person as:
- An Active Organizational Member, or
- An Available Contact
- Continue through the prompts.
Why does APIC search by email?
APIC uses the email address to determine whether the individual already has an APIC account.
This helps prevent duplicate accounts and protects existing membership, certification, education, and other APIC history.
Carefully verify the email address before continuing.
If the person already has an APIC account
If APIC finds an existing individual who is currently associated with another organization, the system will not automatically move them to your organization.
Instead:
- Select the matching individual.
- Send the invitation.
- The individual will receive an email asking them to confirm the new organization relationship.
- Once accepted, the appropriate Organizational Membership assignment will be created.
If the person is new to APIC
If the system does not find an existing account, continue through the process to add the new individual.
The system will create the appropriate profile and membership relationship.
Review invitations
To review invitations:
- Open your Organizational Membership Roster.
- Select the Invitations tab.
- Locate the individual.
Invitation statuses may include:
- Pending
- Accepted
- Expired
- Cancelled
Invitation expiration
Invitations expire 30 days after they are sent.
If an invitation expires, a new invitation may need to be issued.
Resend an invitation
If an individual did not receive the invitation:
- Open the Invitations tab.
- Locate the pending invitation.
- Select Resend Invitation.
Ask the recipient to also check their spam or junk folder.
Cancel an invitation
If the individual should no longer be invited:
- Open the Invitations tab.
- Locate the invitation.
- Select Cancel.
- Confirm the action.
The invitation will no longer be valid, but its history will remain available.
What happens when the invitation is accepted?
Once the recipient accepts an invitation to become an Organizational Member:
- Their organization relationship is confirmed.
- Their membership assignment is created.
- They appear under Active Org Members.
- One Organizational Membership seat is used.
Need help?
Contact APIC if:
- An invitation repeatedly fails.
- The recipient cannot accept the invitation.
- The invitation was accepted but the person does not appear on your roster.
- The individual already has an APIC account but cannot be added.
